Job Description Summary

Basic Purpose

We are seeking an experienced Accounts Receivable/Collections Specialist to join our team. The ideal candidate will have a strong background in cash postings, invoicing, and customer collections. This position processes weekly and monthly invoicing for customers as well as daily cash postings and collection calls to keep customer accounts in good standing.

Reporting and Working Relationships

The Accounts Receivable/Collections Specialist reports to the Assistant Controller and will work closely with the Customer Service Coordinators and Office Manager.

Primary Responsibilities

• Maintain accurate records of all accounts receivable transactions.
• Prepare and process invoices, debit memos, and credit memos.
• Prepare vendor setup forms for customers.
• Setup and maintenance of customer portals.
• Submit customer invoices on portals if required.
• Record daily bank deposits, ACH payments, and credit card transactions.
• Monitor accounts to ensure timely payment and follow up on delinquent accounts.
• Proactively escalate collection delays to ensure we meet our collection past due goals.
• Timely communication to customer inquiries.
• Work with the Assistant Controller to investigate, correct, and follow up on any inaccuracies identified.
• Issue lien waivers as requested by customers.
• Provide back up answering phones for Customer Service Coordinators.

Work Environment

• Will be working in a small office setting.
• 40-hour work week, Monday to Friday between 7 am and 4:30 pm.
• Minimal overtime as needed.

• Minimum of two years accounts receivable and collections experience required.
• Accurate data entry skills.
• Strong computer skills: Excel, Word, Outlook, and accounting software.
• Professional verbal and written communication skills.
• Analytic and problem-solving skills.
• Ability to work with others in a small office environment.
• Associate or bachelor's degree in accounting or related field preferred but not required.

Compensation details: 38000-40000 Yearly Salary
