The Job

Event Planning and Management:

  • Develop and execute a strategic plan for monthly IMP events, networking events and dinners, and quarterly Experts Council events
  • Event Planning & Execution: Develop and manage comprehensive project briefs & timelines, ensuring all tasks are clearly defined & deadlines are met. Coordinate with internal teams, external agencies, and vendors to ensure seamless execution. Provide updates and progress to key stakeholders regularly. **Must follow up with Experts Council member to submit hot seat topics before 5pm Wednesday prior to event**
  • Budget Management: Develop and manage event budgets, ensuring cost-effective solutions without compromising quality. Track expenses and provide regular budget reports.
  • Plan, coordinate, and execute a variety of events, including monthly IMP meeting, think tanks, networking events, celebrations, and dinners 
  • Oversee all aspects of event logistics, including venue selection and procurement, sponsorship fulfillment, vendor management, contracts, budgeting, and on-site coordination to include registration and on-site management
  • Ensure that venues, AV, catering and party rental are all confirmed prior to the event
  • Manage volunteers, providing guidance, training and support to ensure events are executed efficiently and professionally.
  • Order/pick up name-tags, supplies and signage prior to the event and set up registration before guests arrive and remove once the event has concluded
  • This is a dynamic role that requires a high energy, collaborative and smart event coordinator

Member Engagement:

  • Foster strong relationships with members to understand their needs and preferences.
  • Develop and implement strategies to increase member participation and satisfaction in events and training programs.
  • Collect and analyze feedback to continuously improve the quality and relevance of offerings.
  • Collaborate with internal stakeholders and external partners to enhance the overall member experience.
  • Stay current with industry trends and best practices to ensure our events remain innovative and competitive.

This position is physically demanding, including 10+ hour shifts on your feet, moving tables and chairs. Our Event Coordinators are expected to work alongside the staff for the entirety of the event.

What are we looking for?

  • 1 - 4 years of Live Event Coordination or Management experience required
  • Entrepreneurial mindset, self discipline, organized and ambitious work ethic

This is a part-time role. Currently, this person will manage a quarterly event, a monthly event, and 6-12 networking events / dinners per year. This is a part time, contract role. Compensation is $1,500-2,000 per quarterly / monthly all-day event, and $200-400 for every networking event / dinner. $25,200 to $36,800 per year.
