Event Production Coordinator
Full-time / Exempt
Salary Range: $45,000 - $50,000
Summary We are seeking a dynamic and experienced Event Production Coordinator with a passion for cycling and expertise in route planning and management. This role requires meticulous attention to detail, excellent organizational skills, and the ability to work all aspects of event production, from initial planning to execution. The ideal candidate will have a deep understanding of bicycle events, particularly charity rides, and will be able to create unforgettable experiences for participants.
The Event Production Coordinator serves as the primary logistics planner working with the Production Team to secure all sites, routes, contracts, permits and jurisdictional support necessary to safely and effectively produce an event that fulfills Event 360's and the clients’ goals and surpasses expectations. Considerable interaction with other departments, including Programs, Purchasing, Event Operations, Legal and Accounting among others are critical. Significant travel will be required.
This position reports directly to the Event Production Manager and is classified as exempt. This position is remote based, strategically located around the contiguous United States to meet the needs of the company.
Qualifications: - Professional experience in a production or project management role with a proven track record of at least 3 years.
- Demonstrate experience in the core components of Event 360's services including client services, participant acquisition, volunteer management, operations, event planning and execution.
- Ability to manage multiple tasks in a large, complex project with a corresponding capability to assess the broader picture.
- Ability to lead and coordinate several projects simultaneously and bring projects to successful completion.
- Strong written and oral communication skills, and strong interpersonal skills.
- Demonstrate success in budget management.
Responsibilities (included, but not limited to): - Successfully direct and manage projects from beginning to end.
- Assist the Event Production Manager in securing all sites, routes, contracts, permits and jurisdictional support.
- Create and develop operational plans including but not limited to site guidelines, maps, manifests, emergency response, staffing, staff checklists and week/day of event timelines.
- Work with Account Director, Purchasing and others to secure vendors and event supplies, and manage assets.
- Effectively implement on event operational plans and in some cases, serve as the primary event lead when the Event Production Manager or Director of Production are absent.
- Effectively communicate project expectations to team members and stakeholders in a timely and clear fashion.
- Identify and resolve issues and communicate them to the appropriate stakeholders in a timely manner.
- Frequent travel to different geographic areas required as well as availability to work evenings and some weekends.
- Other projects and duties as assigned.

- Must be able to remain in a stationary position for extended periods of time and complete repetitive motions such as typing, answering phones, and other administrative functions.
- May be asked to operate and drive event vehicles and may experience extended periods of driving a vehicle.

- When traveling on event, work environment can consist of hotel rooms, a shared tour bus with a private sleeping bunk, among other possibilities.
- Work may require between 40-60% travel.
