Since our establishment in 2010, we have been committed to providing unwavering support to individuals within the foster care system through intentional giving, mentorship, and community engagement. Position Overview:

This is a hybrid role that will require the Events Manager to work onsite semi-regularly and as needed.

Responsibilities:
The main role of the Events Manager is to ensure that our events are executed with excellence in support of our mission and vision. Primary responsibilities include leading logistics for all programmatic events and community engagements, providing advanced support for fundraising events, and coordinating related administrative operations. 

Events

Supporting events from concept to execution is a key component of this position. This role will lead logistics for programmatic events and community engagements, along with providing advanced support for fundraising events. 

  • Serves as the lead for all local programmatic events, including but not limited to: Entrepreneur Workshop/Leader Academy, Spring Break Camp, Family Days, Back to School, Volunteer Appreciation, Fall & Winter holiday events, and Holiday Shop Day. 
  • Serves as the lead for all community/corporate engagements events, including but not limited to: Build-a-Love Box events, supply drives, notecard writing engagements, etc. 
  • In partnership with the Executive Director and Executive Operations Manager, supports logistics of fundraising events and partnerships, including but not limited to: corporate partnerships, private donor dinners, National Advisory Council engagement, Angel Ball Gala, Food Fight, etc. 

Administrative Operations

This role will lead related administrative operations, ensuring that events and other special projects are organized and run efficiently. These responsibilities are paramount to success, enhancing productivity and effectiveness. 

  • Coordinates meeting logistics such as: location details (virtual or in person), calendar invites, reminders, etc. 
  • Facilitates hospitality for in person meetings, including ordering food, room reservation and set up, preparing digital and/or print materials, etc. 
  • Tracks budgets and manages related receipts/expense reports. 
  • Submits print requests for meetings and projects as directed. 
  • Oversees post-event mailings, such as thank you cards.
  • Responds to all contact form/info email inquiries within one business day. 
  • Maintains files and documentation. 
  • Updates donor information as needed within the CRM database. 
  • Order and maintain inventory of swag (T-shirts, stickers, water bottles, etc.).

Other Duties as Assigned

This job description, while detailed, is not all inclusive. Although we plan in advance as much as possible, unexpected opportunities or one-time projects can arise and may take priority. Adaptability is key to success in this role. 

  • Support special projects on an as needed basis, including but not limited to: Foster Care Community Center, team engagements, Programs Conference, Love Box deliveries, tabling events, etc. 

Knowledge, Skills, and Abilities:

  • Background in leading events and administration. 
  • Demonstrated ability to be strategic, innovative, and make sound ethical decisions.
  • Ability to work independently and take initiative with minimal supervision, while also working effectively with a team. 
  • Outstanding and professional communication skills, both verbal and written.
  • Excellent time-management and prioritization skills, and ability to effectively manage short and long-term projects.
  • Strong organizational skills with meticulous attention to detail. 
  • The ability to thrive in a fast-paced environment and manage multiple concurrent projects/deadlines. 
  • Ability to maintain confidentiality, discretion, and professionalism. 
  • Proficient in Microsoft 365 and Google Workspace.
  • Ability to pass state and federal background checks.
  • Willingness to work some evenings and weekends.
  • Valid driver’s license and reliable transportation. 
  • Personal laptop and/or desktop computer.

Minimum Qualifications:

  • 3+ years of experience in event coordination and administrative support

Preferred Qualifications:

  • 5+ years of experience leading events 
  • 2+ years experience in advanced administrative support

The estimated gross base annual salary range for this role is $50,000.00 per year. Actual compensation may vary and is dependent on various factors, including a candidate’s qualifications, experience, and competencies.
