Job Description

Summary / Objective

The Project Manager is responsible for leading projects from initial planning through construction and closeout, ensuring design quality, schedule adherence, budget control, and client satisfaction. This position provides leadership to project teams, consultants, and clients throughout all project phases, managing communication, technical execution, and financial performance. The Project Manager oversees multiple concurrent projects, maintains client relationships, and ensures all work meets firm standards for quality, accuracy, and service delivery.

Key Competencies and Responsibilities

Leadership, Project Oversight, & Staff Development

  • Leads project teams through all phases of design and construction, managing communication, coordination, and accountability.
  • Reviews RFPs, develops project scopes, budgets, and schedules, and assists in contract negotiation.
  • Recommends and coordinates consultant selections and oversees consultant performance.
  • Fosters a collaborative working environment with project architects, designers, and discipline leads.
  • Integrates sustainable design strategies and ensures project compliance with the firm’s Quality Management System.
  • Provides leadership and mentorship to project architects, designers, and interns.
  • Promotes professional growth and continuous learning among team members.
  • Recommends staffing adjustments, performance feedback, and professional development opportunities.

Project Planning & Financial Management

  • Prepares project work plans, defining staffing, fess, deliverables, and schedule milestones.
  • Manages financial performance through budgeting, forecasting, and monthly review of project profitability.
  • Utilizes Deltek Vantagepoint, Newforms, and Microsoft Project to track progress, budgets, and schedules.
  • Ensures timely completion of work plans, reports, and documentation for internal and external stakeholders.

Indicator of Competence

  • Balances design, technical accuracy, and financial performance through effective planning and resource management.

Communication & Coordination

  • Maintains consistent communication among clients, consultants, contractors, and internal teams.
  • Facilitates design and coordination meetings, prepares meeting minutes, and distributes updates promptly.
  • Reviews and approves project correspondence, reports, and invoices to maintain accurate project records.

Indicator of Competence

  • Communicates clearly, proactively, and professionally, ensuring transparent information flow across all team members and partners.

Design & Technical Execution

  • Oversees development of design documentation and construction documents to ensure quality, coordination, and constructability.
  • Monitors adherence to design intent and technical accuracy through regular QA/QC reviews.
  • Applies advanced knowledge of architectural building systems, materials, codes, and construction methods.
  • Coordinates BIM workflows and integrated project delivery (IPD) methods as applicable.

Indicator of Competence

  • Delivers coordinated, constructible, and compliant documents that meet firm standards for quality and performance.

Construction Administration

  • Provides oversight during construction, including submittal reviews, RFI responses, site visits, and punch list completion.
  • Maintains communication with contractors, clients, and consultants to resolve issues quickly and effectively.
  • Evaluates project performance post-occupancy to ensure continuous improvement and client satisfaction

Indicator of Competence

  • Maintains proactive involvement through construction, ensuring alignment between design intent and built outcome.

Client Engagement & Business Development

  • Builds and maintains long-term client relationships, serving as the primary client contact during the project life cycle.
  • Identifies new project opportunities and participates in business development initiatives and interviews.
  • Assists in proposal and fee development for new and repeat work.
  • Represents the firm at client and community events to reinforce brand reputation and trust.

Indicator of Competence

  • Strengthens client mentorship to project architects, designers, and interns.

Supervisory Responsibility

This position may supervise and provide guidance to architectural staff, including project architects, designers, and interns, as assigned per project scope.
