Who We're Looking For: We’re looking for an exceptional Real Estate Assistant/Listing Coordinator who is highly organized, detail-oriented, and experienced in providing top-tier administrative support to executives or in similar roles. You should be proactive, discreet, and possess a strong work ethic. A sense of humor and the ability to stay calm under pressure are essential. Responsibilities: • Oversee and maintain the executive’s calendar, scheduling all calls, meetings, conferences, and appointments, both personal and professional. • Answer phone calls and emails, return messages, and route inquiries to the appropriate individuals to ensure efficient use of the CEO’s time. • Coordinate the CEO’s daily schedule, including managing the calendar, prioritizing tasks, and preparing for all appointments and meetings. • Help prepare for listing consultations (e.g., comparative market analysis, compiling marketing material, etc.). • Work with homeowner clients, team members, and vendors to coordinate the home preparation and sale process, ensuring a seamless experience for the client. • Coordinate with the marketing team to prepare marketing information and collateral for property to be put on the market to sell! Qualifications: • Commuting Requirement: Must be willing to commute to and work in our Winchester office. This is not a remote or hybrid role. • Experience: Proven experience as an Executive Assistant is essential. Real estate experience is advantageous but not required. • Technical Skills: Proficiency with a variety of computer software applications is necessary. Experience with iPhones and Apple products is highly preferred. • Organizational Skills: Strong organizational abilities with a keen eye for detail, capable of managing and prioritizing multiple tasks efficiently. • Communication Skills: Excellent verbal and written communication skills, with a strong attention to detail in composing, typing, and proofreading materials. • Interpersonal Skills: Charismatic and personable, with the ability to handle sensitive and confidential situations with poise, tact, and diplomacy. • Adaptability: Ability to meet deadlines, stay calm under pressure, and adapt to a fast-paced, evolving environment. • Independence and Direction: Able to work independently on assigned tasks while also following directions and accepting feedback on assignments. • Customer Service: Strong interpersonal skills with a commitment to providing exceptional service to luxury clientele.
