Job Description

The Director of Project Management & Real Estate will manage the day-to-day activities of the family's real estate portfolio from within the private office in New York, working closely with family members to manage their residential properties including luxury homes, condominiums and high-end apartments.

The Director of Project Management & Real Estate will:

  • Cultivate and maintain strong, trusted relationships with family members, ensuring exceptional service and personalized attention to their real estate needs.

  • Advise the family on residential real estate acquisitions and disposals working alongside the family, advising them on the commercial aspects of transactions and working alongside the legal team on the legal negotiations.

  • Ensure realistic renovation costs are taken into account prior to the acquisition of properties.

Project Management Responsibilities:

  • Lead and manage real estate renovation and development projects from inception to completion, ensuring they are delivered on time and within budget.

  • Ensure that clear budgets are agreed at the beginning of each real estate project and that increases in budgets are driven only by family requirements.

  • Ensure that comprehensive agreements are signed with all service providers and contractors to the project that protect the interest of the family member, working collaboratively with the legal team. These should include contracts with architects, designers, landscape architects, owners' representatives, and other significant contracts.

  • Oversee the project management of renovation and development projects including the work of owners' representatives and general contractors, including communicating progress and issues timeously to the relevant family member.

  • Review project plans, drawing, specifications, and construction documents for errors and nonstandard terms or designs.

  • Planning - ensuring that an efficient process is being run to ensure that all planning applications are being submitted timeously and monitoring progress in obtaining planning. Maintain a clear and consistent understanding of the permitting process for each project anticipating potential obstacles that could be challenging the location of the property.

  • Manage all communication of real estate projects to key stakeholders. Facilitate regular communication between the project managers/owners' representatives, contractors, architects and the relevant family member including timeline and process.

  • Work with the finance team on funding, cash flow, and payment processes for projects

  • Provide regular reports on construction budget vs. actual reporting to family members and appropriate stakeholders as required.

  • Act as an agent for the family member to monitor performance of various partners and alert the family member to any deviation from budget/schedule; manage, anticipate, and escalate any issues at key project stages.

  • Review additional required insurance (course of construction/builder's risk/renters) and coordinate with local specialist attorneys where needed. o Ensure that the project is properly closed out, including negotiating the final payments, completion of snag lists and handover of house to maintenance team.

Property Management Responsibilities:

  • Agree the annual maintenance plan with the family member and appropriate stakeholders.

  • Prepare the annual budget for maintenance and operating costs (property tax, utilities, and insurance) for the year.

  • Ensure funding is available for those costs for the year.

  • Regularly review and approve invoices, identifying any cost discrepancies and escalations.

  • Provide regular reports on operating and maintenance budget vs. actual reporting to family members and appropriate stakeholders as required.

Other responsibilities of the Director of Project Management & Real Estate include:

  • Advise the family on residential real estate rentals/leases working alongside the family, advising them on the commercial aspects of transactions and working alongside the legal team on the legal negotiations.

  • Insurance - work with the in house General Counsel to ensure that adequate insurance is in place for each property including contents insurance. Assist in ensuring regular insurance valuations are obtained from time to time. Ensure that renewals are considered ahead of time to allow for negotiation of premiums.

  • Manage the weekly internal team real estate call to ensure effective co-ordination amongst the real estate, finance, legal and support teams in the private office.

  • Provide regular reports and updates to the CEO and other stakeholders on the performance of the real estate portfolio.

  • Obtain and record all necessary documentation on real estate projects to provide tax compliance.

  • Manage all property related relationships with property managers, brokers, facility teams in New York, California, and other locations.

The following is the ideal experience required for the role although candidates may be selected for interview who do not have all the relevant requirements:

  • Minimum of 8-10 years of relevant experience, including working in residential real estate development including high-end single-family homes, condominiums, and luxury apartments. Experience working with very high specification of finishes and a clear understanding of the requirements for such finishes.

  • A proven track record of successful high end residential real estate development project management.

  • Excellent leadership and management skills, including an ability to negotiate and communicate effectively with stakeholders and vendors.

  • Knowledge of local, state, and federal real estate regulations.
