Job Summary:

JET The Agency is a premier event production and exhibit trade show company headquartered in Las Vegas. We specialize in custom trade show booths, event and trade show furniture rentals, experiential activations, and fabricated structures. We are seeking a highly organized and detail-oriented Event Coordinator to join our team. This role will be responsible for assisting in the planning, coordination, and execution of events, ensuring seamless logistics and exceptional event experiences. The ideal candidate is proactive, resourceful, and thrives in a fast-paced environment, managing multiple projects simultaneously while maintaining strong vendor and stakeholder relationships.

Key Responsibilities:

Event Planning & Execution -

  • Assist with negotiations for space contracts and book event venues.
  • Arrange catering, order supplies, and coordinate audiovisual needs.
  • Manage travel arrangements, event signage, and décor, ensuring all elements align with event themes and brand aesthetics.
  • Gather detailed information on each project to ensure high-quality event production.
  • Conduct research, site visits, and resource scouting to inform decision-making for event logistics and entertainment.
  • Develop and update room layouts and seating plans for events.
  • Propose innovative ideas to enhance event planning and execution.
  • Act as the primary liaison between vendors, artists, and internal teams.
  • Oversee on-site event production and assist with post-event cleanup and closeout procedures.

Event Administration - 

  • Assist in preparing event budgets and provide regular progress updates to leadership.
  • Track event-related financials, including check requests, invoices, and artist payments.
  • Manage event scheduling and maintain an organized event calendar.
  • Draft, review, and update event contracts as needed.

Qualifications:

  • Excellent communication skills, including writing, proof reading skills, and speaking.
  • Trade Show & Marketing Background a big plus.
  • Ability to manage multiple projects and work assignments from a variety of staff.
  • Excellent interpersonal skills both in person and by phone, with high professionalism.
  • Ability to accomplish projects with little supervision.
  • Fantastic customer service ethic and high expectations for quality.
  • Proficient using the latest versions of Microsoft Word, Excel, PowerPoint, Access, and mail merges; email and web searches.

Job Type: Full-time

Pay: From $55,000.00 per year ++ Depending on Experience
