Role Description

The Office Administrator facilitates the efficient operation of DiagnosTech’s operations by performing a variety of clerical and administrative tasks as well as serving as the central point of contact for building tenants.

Essential Duties :

  • Answers and transfers phone calls, screening when necessary.
  • Welcomes and directs visitors and clients.
  • Maintains filing systems as assigned.
  • Retrieves information as requested from records, email, and other related documents; prepares written summaries of data when needed.
  • Responds to and resolves administrative inquiries and questions.
  • Coordinates and schedules conference rooms, meetings, and appointments for managers or supervisors.
  • Prepares agendas and schedules for meetings.
  • Maintains and orders office supplies and coordinates maintenance of office equipment.
  • Sorts and distributes mail and deliveries on a daily basis.
  • Coordinate building maintenance issues with established vendors/contractors.
  • Central point of contact for building tenants related to building/rental space issues and maintenance.

Required Skills/Abilities:

  • Excellent verbal and written communication skills.
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office 365 Suite or related software.
  • Excellent organizational skills and attention to detail.
  • Administrative Assistance, Customer Service, and Office Administration skills
  • Proficiency in using office equipment
  • Ability to multitask and prioritize tasks effectively
  • Attention to detail and organizational skills
  • Ability to work independently.
  • Excellent time management skills with a proven ability to meet deadlines.

Education and Experience:

  • High School graduate or equivalent.
  • Associates degree preferred.
  • Minimum of two years’ experience in an administrative role.
  • Previous contract administration experience is preferred.

Note: This position does not include relocation assistance.

Physical Requirements:

  • Work is performed in an environmentally controlled office setting.
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
  • Work requires regular use of hands to reach, feel, grasp and perform data entry
  • On a regular/routine basis employee will sit at a desk to use a computer, and walk and use elevator or stairs to travel to other areas of the building.
  • Other physical requirements are seeing, hearing, speaking, standing, carrying up to 15 pounds, pushing and pulling, bending and twisting.
