Job Title: Scheduling Coordinator

Location: TN Office - Brentwood Clinic

Terms: Full Time Permanent Position 

Salary/Rate: $40,000 base with an OTE $60,000

About the Position: The Scheduling Coordinator is an integral part of the organization. This individual will be responsible for scheduling clients and staff in the most efficient way possible. The Scheduler will report directly to the office of the C-Suite.

Responsibilities: 

• Oversees and maintains real-time updates within the scheduling platform (e.g., Central Reach) and corresponding spreadsheets to ensure accuracy and efficiency.

• Manages client scheduling by inputting availability and confirmed appointments into Central Reach while optimizing resource allocation.

• Develops and maintains comprehensive schedules for Behavior Therapists, ensuring seamless service delivery.

• Facilitates clear and proactive communication with families and therapists regarding scheduling updates, modifications, and availability.

• Administers and tracks time-off requests for Behavior Therapists, ensuring appropriate coverage and minimal service disruption.

• Coordinates coverage solutions for cancellations, proactively addressing gaps in service and maintaining continuity of care.

• Monitors and analyzes cancellation trends, identifying patterns and reporting concerns to relevant stakeholders.

• Collaborates with BCBAs and administrative leadership to minimize cancellations by engaging in discussions with families and staff to address scheduling challenges.

• Prepares and presents detailed weekly reports to the administrative team, offering insights and recommendations for process improvements.

• Conducts regular check-ins with the direct supervisor to provide updates and align on priorities.

• Supports operational efficiency by assisting the direct supervisor with administrative and scheduling-related tasks as needed.

Candidate Requirements: 

Experience with ABA Scheduling specifically

Experience in Applied Behavior Analysis / ABA Therapy 

High School Diploma or equivalent
